AI Champs ("the App") is operated by Geoinfortrak International Limited ("we", "us", "our"), a company registered in Kenya (Reg. No. PVT-ZQU5K56). This Privacy Policy explains what data we collect, why we collect it, how we use it, and your rights regarding your personal information when you use AI Champs.

1. Who We Are

AI Champs is operated by Geoinfortrak International Limited, a technology company incorporated in Kenya. We build AI and mathematics learning tools for African learners.

2. What Information We Collect

2.1 Account Information

• Email address — used for email OTP sign-in (6-digit code sent to your email)
• Google account — if you sign in via Google Sign-In
• Display name — the name you choose to show on leaderboards
• Age — to ensure age-appropriate access (minimum age: 13)
• Phone number — optional, collected for scholar award M-Pesa payouts only. No SMS is sent.
• Parent or guardian phone number — required for all users under 18 years of age
• Country of residence — used to display amounts in your local currency
• Referral code — if you were referred by another user or wish to refer others

2.2 Learning Data

• Level completion progress (which levels you have completed)
• Quiz scores and completion times
• Championship entry records and rankings
• Platform unlock status
• Achievement badges and XP points
• Question reports submitted via the in-app reporting feature

2.3 Payment Data

• Google Play transaction reference numbers only
• Platform unlock records and community sponsorship donation records
• M-Pesa payout number — collected only from scholar award winners at the time of payout

We do not collect or store credit card numbers, bank account details, M-Pesa PINs, or Google Pay credentials. All payments are processed securely through Google Play Billing.

2.4 Device Data

• FCM token — for push notifications (e.g. championship reminders)
• Device model, OS version, app version — used for technical support only

We do not collect location data, browsing history, contacts, photos, or any data beyond what is listed above.

3. How We Use Your Information

• To provide access to the AI Champs learning curriculum and track your learning progress
• To administer monthly AI Championship competitions and distribute scholar awards via M-Pesa to winners
• To authenticate your account securely via email OTP or Google Sign-In
• To send important notifications including OTP codes, payment confirmations, and championship results
• To display your display name and score publicly on the in-app leaderboard
• To display amounts in your local currency based on your country of residence
• To track referral activity and credit referral earnings to your account
• To record your competition entry acknowledgement and agreement to the Official Championship Rules
• To review and action question reports submitted through the in-app reporting feature
• To improve the app based on anonymised usage patterns
• To enforce age-appropriate access and parental consent requirements
• To comply with our legal obligations under the Kenya Data Protection Act 2019

We do not sell, rent, or share your personal data with third parties for advertising or marketing purposes.

4. Children and Parental Consent

AI Champs is designed for learners aged 10 and above. Users under the age of 10 are blocked from creating an account.

• A parent or guardian phone number is collected and recorded during account setup for users under 18
• We collect only the minimum data necessary for the service
• We do not serve behavioural or targeted advertising to users under 18
• We do not share personal data of users under 18 with third parties for marketing purposes
• If you believe a child under 10 has provided us with personal information, please contact us at info@geoinfortrak.com and we will delete the account promptly
• Parents and guardians may request deletion of their child's account at any time by contacting us

5. How We Share Your Information

We share data only with the following service providers, strictly for the purpose of operating AI Champs:

6. Referral Programme

AI Champs includes an optional referral programme that allows users to earn credit toward a free platform unlock by referring new users.

• Every user is assigned a unique referral code at signup
• When a new user signs up using your referral code and unlocks a platform, you earn KES 10 referral credit
• Referral credit accumulates in your account and can be redeemed for a free platform unlock once the threshold is reached
• Referral activity is recorded in our database — who referred whom, and which platform was unlocked
• Referral data is private — referred users do not see who referred them, and referrers do not see the full profile of those they referred
• Referral credit has no cash value and cannot be withdrawn

7. Data Storage and Security

• All data is stored securely on Supabase servers with HTTPS/TLS encryption on all data transfers
• We use Row Level Security (RLS) so that each user can only access their own data
• Passwords are hashed and never stored in plain text
• Payment transactions are processed entirely through Google Play's secure billing platform — we never handle raw payment credentials
• Scholar award payout M-Pesa numbers are collected only at the time of award and used only for that single transaction
• In the event of a data breach, we will notify affected users and relevant authorities as required by the Kenya Data Protection Act 2019

8. Your Rights

Under the Kenya Data Protection Act 2019, you have the following rights:

• Right to access: Your learning progress, scores, and profile information are visible within the app. You may also request a full copy by emailing info@geoinfortrak.com
• Right to correction: You can update your display name and other profile details from within the app's profile screen. For other corrections, contact us by email
• Right to deletion: Request deletion of your account and all associated personal data (see Section 9)
• Right to object: Object to the processing of your data for specific purposes
• Right to portability: Request your data in a portable format by emailing info@geoinfortrak.com

9. Account Deletion

9.1 In-App Deletion

Open AI Champs → Profile tab → scroll to bottom → tap "Delete My Account". Upon confirmation:

• Your display name, phone number, age, and personal details are anonymised immediately
• Your account is marked as deleted and you are signed out
• Referral earnings and referral history are permanently deleted
• Payment records are retained for 90 days as required by Kenyan financial regulations, then permanently deleted
• You may contact info@geoinfortrak.com within 30 days to recover your account

9.2 Email Deletion Request

If you cannot access the app, send an email to info@geoinfortrak.com with the subject line "Delete My Account" and include the email or phone number associated with your account. We will process your request within 7 business days.

10. Scholar Awards and Financial Data

• Championship entry is free for eligible scholars who have completed all 12 mastery levels. No payment is required to compete
• The scholar award pool is funded by platform subscription fees — not competition entry fees
• Scholar awards are paid via M-Pesa to a number provided by the winner at the time of winning
• The M-Pesa payout number does not need to match the login phone number
• Financial records (payments, payouts) are retained for up to 7 years in compliance with Kenya's tax and financial regulations
• Refund requests for in-app purchases should be submitted directly through Google Play

10b. AI-Generated Content

• Quiz questions and explanations in the AI Champs question bank were created with AI assistance and subsequently reviewed and audited for accuracy
• All questions have been audited for factual accuracy, answer correctness, and age-appropriateness before being published
• If you believe a question contains an error, offensive content, or inaccurate information, you can report it directly within the app using the flag icon on the explanation card after answering any question
• Reports are reviewed by our content team within 7 business days
• Confirmed errors are corrected in the next app update
• We do not use generative AI to dynamically produce content during your session — all questions are pre-authored, stored, and served from our database

11. Sponsorship Privacy

• Sponsors (donors) never see a learner's phone number, email, or full name — only the learner's first name
• Learners never see a sponsor's phone number or email — only the display name the sponsor chooses (or "Community Supporter" if anonymous)
• No direct contact between sponsors and learners is facilitated through the app

12. Push Notifications and In-App Reporting

We may send push notifications about championship openings and deadlines, scholar award announcements, and new platform content availability. You can disable notifications at any time through your device's system settings.

12.1 In-App Question Reporting

AI Champs provides an in-app mechanism to report questions that may be incorrect, confusing, or offensive. When you submit a report:

• The report type and optional note you provide are stored securely in our database
• Your user ID is recorded to prevent duplicate reports and for follow-up if needed
• Report contents are visible only to AI Champs administrators — they are never shared publicly
• You will not receive unsolicited contact as a result of submitting a report

13. Cookies and Advertising

• AI Champs does not use cookies
• The app does not track your activity across other apps or websites
• The app does not display advertisements of any kind
• We do not use your data for targeted advertising
• We do not use advertising IDs

14. Data Retention

• Active accounts: data retained for as long as your account is active
• Deleted accounts: personal data anonymised immediately. Payment records retained for 90 days, then permanently deleted. Financial records retained up to 7 years per Kenyan law
• Inactive accounts: accounts inactive for more than 24 months may be flagged for deletion with prior notice
• Question reports: retained for up to 12 months after resolution, then permanently deleted

15. Competition Entry Acknowledgement

Before entering their first championship on each platform, scholars are required to acknowledge and confirm the following:

• That AI Champs is a skill-based academic competition
• That their platform subscription funded access to learning content — not a tournament entry fee
• That the scholar award pool recognises academic merit and achievement
• That winners are determined entirely by quiz score with no element of chance
• That they have completed all 12 mastery levels required for eligibility

This acknowledgement is recorded in our database alongside the scholar's user ID and timestamp for compliance purposes.

16. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes via an in-app notification. Continued use of AI Champs after changes are posted constitutes your acceptance of the updated policy.

17. Applicable Law

This Privacy Policy is governed by the laws of the Republic of Kenya, including the Kenya Data Protection Act, 2019. Any disputes arising from this policy shall be resolved under Kenyan jurisdiction.
